About the Job:

As our Procurement Officer, you’ll be key to Warc’s success. This year, we expect to work with 40,000 farmers across 5 districts in the Upper West Region, and our growth will only continue. You will evaluate suppliers, maintain relationships, and ensure the cost-effective procurement of materials, parts, or goods while following procurement procedures and keeping an updated list of current and incoming purchases.

Responsibilities and Duties:

1. Supplier Management:

   • Maintain strong relationships with key suppliers to ensure a reliable supply chain.

2. Procurement Process:

   • Request quotes and proposals from suppliers.
   • Negotiate prices, terms, and conditions with suppliers.
   • Prepare and issue purchase requisitions, purchase orders, and invoices in accordance with Warc policies.

3. Inventory and Stock:

   • Monitor inventory levels to determine when to replenish supplies.
   • Implement strategies to optimize inventory levels and reduce excess stock or stockouts.
   • Ensure that all received goods meet quality and specification standards.
   • Address issues with suppliers regarding quality or delivery of goods.

4. Compliance and Documentation:

   • Ensure procurement activities comply with company policies and procedures.
   • Maintain accurate records of purchases, contracts, and supplier interactions.
   • Prepare and present regular reports on procurement activities, costs, and supplier performance.

5. Coordination with Other Departments:

   • Work closely with finance, production, and logistics to align procurement activities with overall company goals.
   • Address and resolve procurement-related issues impacting other departments.
